My Workspace
I do not have a dedicated workstation, can I work at a workstation?
Open workstations will be equally distributed across our team areas. They will be numbered and reservable through our Microsoft Outlook calendar. When you are finished using the desk, all personal items/artifacts should be taken with you and the desk cleaned/wiped down so it is ready for the next user.
The café and all meeting spaces that are not in use can be used as a working space. All meeting and huddle rooms can be reserved for solo work as well.
Where do I hang my coat?
Our mail room is located off the west entrance to our office and within this space there is a dedicated closet for employee coats. Secondly, near the east entry by the two meeting rooms in the front of house, there is another closet dedicated towards client, guest, and employee coats as well.
Office Etiquette
Can I eat anywhere I want in the new office?
Employees will be able to eat in all spaces of our office, including their workstations. We do encourage staff to use our expansive café space with a dedicated kitchen, offering a variety of seating options for eating and drinking. We also have Wi-Fi in the café space so it can be used as an additional solo and/or collaborative working space.
Can you describe how to use the Project Rooms?
The project rooms will be reservable for short and long-term project needs. Each office team has a dedicated Project Room. However, if the room is not being used, all employees/teams are welcome to use them.
Project rooms are equipped with virtual collaboration technology, dual monitors for presentations / drawing mark-ups and equipped with VR technology. If your project requires a physical model, teams may reserve a project room for a longer duration, and it can double as a space to build models.
How do I reserve a room?
You reserve all rooms and hoteling desks with Outlook. Select the desired space in the location field when creating an Outlook calendar event to reserve the space. Also, mounted on the wall just outside our enclosed meeting rooms, we have room manager panels which connect directly to our Microsoft Outlook calendars, making it convenient to simultaneously create a meeting and book a room in advance.
If you have an impromptu meeting and see a room is free, you can book the room directly on the manager system outside the room. The room manager will show you the calendar for the day.
Can I make/take a video call or phone call from my desk?
It is recommended all phone or video calls occur in a closed room so that we do not to disturb other employees. However, if you have an impromptu call occur at your workstation, it is recommended you keep your voice low as possible in effort to respect your colleagues.
If I am in a meeting and the technology does not work, what do I do?
It is recommended employees should arrive in the rooms early (5 minutes minimum) to test the video. Utilize the helpdesk email(support@bcsit.com) and notify our IT team of your issue and they will connect with you in person or via email to help troubleshoot your issue.
